Privacy policy
An event page, its attendee list and its photos belong to the organizer and the people at the event. This page explains, in plain language, what we collect, why, who can see it, and how to delete it.
The short version
- Organizers own their event pages, attendee lists and albums. We run them on their behalf.
- Attendees decide what they share: whether they appear in an event's people directory, which contact details they swap, and who sees each photo they post.
- Event pages carry no advertising and no third-party trackers. We never sell personal data or use your photos to train anything.
- Organizers can export or delete an event, and their whole account, from their dashboard at any time.
What we collect
Organizer accounts. Your email address, your name if you add it, a password only if you choose to set one (stored as a salted hash, never in readable form), and, if you sign in with Google, your Google account's email and ID. We keep a record of signed-in devices so you can sign them out.
Event pages. Everything an organizer puts on a page: the event name, dates, place, agenda, speakers, sponsors, documents, logos and images.
Attendee lists. The names and any other details an organizer adds or imports (for example email, phone, company, job title, group, table or engraving text) so each wristband and personal link opens the right page.
What attendees add. A name and, if they choose, a photo, job title, short bio, links and contact details for the people directory; connections they make with other attendees; photos, videos, comments, reactions, poll votes, questions, shout-outs and form answers.
Wristband orders. Contact and shipping details, quantities and the band design, so we can send a proof, make and deliver the bands. Payments are handled outside this site.
Technical data. Basic information browsers send (device type, rough location from the IP address, pages viewed), used to keep the service secure, fast and working.
Who sees what
An organizer chooses who can open their event page: anyone with the link, people who give their name, people with the event password, or only people on the guest list. Sections marked for attendees only are never sent to anyone else. An attendee appears in an event's people directory only if they choose to, and their email or phone is shared with another attendee only when they accept that person's connection. Every photo carries the visibility its uploader chose, and the server filters what each browser receives; private items are not merely hidden in the page. The organizer and the people they invite to their team can see their event's attendee list, form answers and results.
How we use it
To run the event pages, albums and live features; to sign people in and send the emails the service needs (sign-in codes, personal event links an organizer asks us to send, team invitations, order updates and replies to your messages); to make and ship wristbands; to prevent abuse; and to improve the product. We do not sell personal information and we do not share it with advertisers.
Cookies and analytics
Cookies that make it work. A sign-in cookie for organizers, a per-event cookie that keeps an attendee signed in to that event, and short-lived security cookies. They are strictly necessary and are not used for tracking.
On our marketing pages (this website, not organizers' event pages) we measure visits with Google Analytics, Clicky and Microsoft Clarity. Clarity records anonymised session replays and heatmaps that show how pages are used. You can block these with your browser settings or an extension; the site keeps working.
On event pages we count views ourselves without cookies, using a daily changing, one-way scrambled identifier, so organizers see totals and never individual visitors.
Who helps us run it
Cloudflare (hosting, the database and file storage), Resend (sending email), Google (analytics, and Google sign-in if you use it), Microsoft (Clarity analytics on marketing pages) and Clicky (analytics on marketing pages). Each processes data only to provide its service to us.
Organizers and attendees
For the details an organizer adds about attendees, the organizer decides what is collected and why, and we process it on their behalf. Attendees with questions about how an event uses their details should ask the organizer first; we will help either of you.
White-label partners
When an event is run under a partner's brand (an agency, organizer or distributor), that partner acts as an additional controller of their event's data. We process it on their and the organizer's behalf under the same protections described here.
Keeping it, and deleting it
Event pages and albums stay available for as long as the organizer keeps them. An organizer can delete an event (with its attendees, photos, documents, votes and connections) or their whole account from the dashboard, and it is removed from our live systems straight away; backups age out within 30 days. An attendee can remove themselves from an event's directory, and ask the organizer or us to delete what they posted. Sign-in codes expire after 10 minutes and are deleted.
Children
WearableEvents is for adults organizing events. We don't knowingly collect personal information from children. Organizers of events with younger attendees are responsible for the permissions those events need, and can remove any photo or entry at any time.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete the personal data we hold about you, and to object to how it is used. Write to hello@wearableevents.com and we will respond within 30 days.
